WhatsApp Business chatbot: how to automate without losing the human touch

What you can do for free today with the app, when you need the official platform, and how an AI agent serves your customers while you stay in charge.

Quick answer

A WhatsApp Business chatbot answers your customers automatically. You can start for free with the WhatsApp Business app's tools and, for bots or AI agents at scale, use the official platform, always with a person available for the important cases.

A WhatsApp Business chatbot is a system that automatically answers your customers' messages: anything from a simple menu to an artificial intelligence agent that understands what people write, books appointments and hands the conversation to a person when needed. You can start today, for free, with the app's tools; to automate at scale you need the official platform. In this guide we explain both in plain words.

In Colombia, WhatsApp is where conversations happen. And as your business grows, answering every message on time gets hard: questions arrive at eleven at night, on Sunday, or right when you're helping someone at the shop. That's where well-done automation gives you time back, without losing the warm treatment your customers expect.

The basics

WhatsApp Business app vs. platform: the difference

Lots of people use "WhatsApp Business" to mean two different things. It's worth separating them, because what you can automate and what it costs depend on it.

WhatsApp Business app

  • Free; you download it on your phone.
  • Product or service catalog.
  • Quick replies (shortcuts for saved messages).
  • Automatic greeting and away messages.
  • Labels to organize chats: new customer, pending order, paid.
  • Designed for one person or a small team.

WhatsApp Business Platform

  • Formerly known as the WhatsApp Business API.
  • Connects to systems: calendar, inventory, CRM, your website.
  • Allows bots and AI agents that converse at scale.
  • Several team members can answer on the same number.
  • Accessed through an official provider.
  • Meta charges for messages under its pricing model.

About platform costs: Meta charges according to its current pricing, which depends on the message category (for example, marketing, utility or authentication) and the country. That pricing has changed over time, so the right source is always the official WhatsApp Business pricing page. We won't give you numbers here because they change; in a quote we'll explain how it would apply to your case.

Rule of thumb: if you get a few messages a day and answer them yourself, the free app is probably enough. If messages are overwhelming you, if you need several people on one number or want an agent to answer on its own, it's time to think about the platform.

Types of chatbot

Simple bot vs. AI agent

Not all WhatsApp chatbots are the same. The biggest difference is whether the system just follows a menu or truly understands what the person writes.

Simple bot (menu-based)AI agent
How it works"Type 1 for hours, 2 for prices." Follows a fixed tree.Understands free text: "Are you open on the holiday and do you deliver to Suba?"
Looks up informationOnly what was written in advance. Can check your catalog, calendar or order status if it's connected to those systems.
Books appointmentsLimited, or with rigid steps.Suggests available times and confirms the appointment.
Hands off to a personThrough a menu option.Detects when it's needed and hands over the case with a summary of the conversation.
When it fitsBusinesses with few, very repetitive questions.Businesses with many varied inquiries that want natural replies.

An AI agent doesn't replace your team: it takes the repetitive work off their plate so people can focus on what truly needs judgment. To learn more, our AI agents for business page explains how they work beyond WhatsApp.

Any openings on Saturday? Yes: 10:00 or 2:00. Which works? Also, I have a complaint... Connecting you to a person now. Calendar booking confirmed Person on the team
The agent handles the repetitive work, like booking, and hands sensitive cases, like a complaint, to a person.

Priorities

What to automate first and what to keep human

The question isn't how to automate WhatsApp completely, but which parts to automate first. Start with what repeats most and needs the least judgment.

Automate first

  • Hours and location: "What time do you open?", "Where are you?", "Are you open on the holiday?"
  • Ballpark prices and quote intake: the agent asks for what's needed and leaves the request ready for your team to send the quote.
  • Booking appointments: service, day, time and reminder.
  • Order status: if it's connected to your system, it answers where the order is.
  • Deliveries (domicilios): coverage areas, approximate times and how to order.

Keep human

  • Complaints: an upset person wants to feel someone is listening.
  • Large sales: negotiations, contracts and corporate clients.
  • Sensitive topics: health, disputed money, personal situations.
  • Unusual cases: anything the agent isn't sure about.

Example

A neighborhood drugstore in Kennedy gets the same questions every day: whether a certain product is in stock, how late they're open and whether they deliver. An agent can answer those three things instantly. But if someone asks about a dosage or a symptom, the agent doesn't improvise: it says a pharmacist on the team will reply and hands off the chat.

Quality

Quality control and human handoff

A poorly configured chatbot can drive customers away faster than it attracts them. That's why, in any WhatsApp automation, these rules aren't optional:

  • There's always a human way out. The customer can type "agent" or "person" at any time and someone on the team takes over the chat.
  • The agent knows what it doesn't know. If it doesn't have the information, it says so and hands off the case instead of making something up.
  • The handoff includes context. The person who takes the chat sees the summary, so the customer doesn't have to repeat everything.
  • Conversations get reviewed. Every week someone reads a sample of chats and adjusts replies that didn't land well.
  • The tone is your business's tone. Warm, formal "usted" if that's how your brand speaks, no robotic replies.
  • Information stays current. Prices, hours and promotions are updated when they change.

That's how we see AI: it gives the business owner time back, but with human quality control. If you'd also like to automate internal tasks, like reports, files or quote follow-ups, we explain it in business process automation.

Clear rules

Personal data, Law 1581 and WhatsApp's rules

Automating doesn't give you permission to message just anyone. There are two frameworks you must respect:

Law 1581 of 2012 (habeas data)

It's the law that governs personal data in Colombia. If your chatbot collects names, phone numbers, addresses or any personal data, your business needs a data-treatment policy and the person's consent. In practice: at the start of the conversation, the agent can share the link to your policy and ask for authorization before saving any data.

WhatsApp's and Meta's rules

  • Prior permission (opt-in): you can only start conversations with people who agreed to receive your messages on WhatsApp.
  • No spam: bulk messages people didn't ask for lead to blocks and reports, and can hurt your number's quality.
  • Easy opt-out: people must be able to stop receiving messages easily.
  • Commerce and messaging policies: WhatsApp has rules about what can be sold and how you can message customers; review the official policies at WhatsApp Business.

This isn't legal advice. If you handle sensitive data, such as health information, consult a lawyer about your data-treatment policy.

Free, today

Step by step: turn on the free features today

Before you think about a free or paid WhatsApp chatbot, make the most of what the app already includes. You can do this this afternoon, with a tinto (Colombian black coffee) by your side:

  1. Install WhatsApp Business

Download the WhatsApp Business app on your phone and register it with your business number. If that number already has regular WhatsApp, the app offers to move your chats over.

  2. Complete your business profile

In the business tools settings, add your name, category, description, address, hours, email and a link to your website.

  3. Create a greeting message

Turn on the greeting message for people writing for the first time. Say hello, mention what they can ask about and when you'll reply.

  4. Set up an away message

Schedule a message for after hours: "Thanks for writing. We're open Monday through Saturday; we'll reply as soon as we open."

  5. Save quick replies

Create shortcuts for the usual questions: hours, payment methods, delivery zones, how to get a quote. With a slash and a word, the full message goes out.

  6. Upload your catalog

Add products or services with a photo, description and, if you like, price. Customers can see them without asking you for photos one by one.

  7. Organize with labels

Use labels like "new customer", "quote sent", "pending order" and "paid" so nobody is left without a reply.

  8. Put WhatsApp on your website and Google profile

Add the WhatsApp button to your website and the link to your social media so people reach you with one tap.

When these tools fall short, it's a sign your business is ready for an agent.

Keep in mind

Common mistakes when automating WhatsApp

We've seen many automations that, instead of helping, push customers away. It's almost always the same mistakes, and nearly all of them can be avoided from the start:

Endless menus

"Type 1, then 3, then 2..." The person just wanted to know if you deliver to Chapinero. If a simple question takes four menus, the customer gets tired and messages another business.

Hiding the people

A bot that never lets you talk to someone is frustrating. The human way out should be visible, not buried in the last menu.

Outdated replies

The hours changed, the product sold out or went up in price, and the bot is still saying what it said three months ago. That costs trust. Someone has to be responsible for keeping information current.

Bulk messages without permission

Buying contact lists or blasting promotions to all your contacts isn't just annoying: it can get your number blocked and conflicts with Law 1581 of 2012.

Promising what the bot doesn't know

A poorly configured agent may make up an answer just to say something. That's why it gets clear limits: if it doesn't have the information, it says so and hands off the case.

Automating without measuring

If nobody checks how many conversations the agent resolved, how many went to a person and how many went unanswered, there's no way to improve.

Signs your business is ready for an AI agent

  • You get so many messages that some go unanswered or get answered the next day.
  • You or your team answer the same questions over and over throughout the day.
  • You get after-hours messages that slip through because nobody gets to them in time.
  • You need several people answering from the same WhatsApp number.
  • Booking appointments or collecting quote details eats up hours of chat every week.

If two or more of these sound familiar, it's worth talking about a WhatsApp chatbot built for your business.

FAQ

Frequently asked questions

What is a WhatsApp Business chatbot?

It's a system that automatically answers the messages your customers send you on WhatsApp. It can be a simple bot with menus and fixed replies, or an artificial intelligence agent that understands what the person writes in their own words, looks up information, books appointments and hands the conversation to a person when needed.

Is there a free WhatsApp chatbot?

The WhatsApp Business app is free and comes with useful tools: a catalog, quick replies, a greeting message, an away message and labels. It isn't a full chatbot, but it automates the basics. A bot that holds conversations at scale needs the official WhatsApp Business Platform, and Meta charges for messages under its pricing model.

How do I automate my WhatsApp without customers feeling like they're talking to a machine?

Start with repetitive questions, like hours, ballpark prices or order status, and always leave a clear way to talk to a person. Use a warm tone that sounds like your business, and review conversations every week to improve the replies. Automation should help your team, not hide it.

What's the difference between the WhatsApp Business app and the WhatsApp Business Platform?

The app is free, installs on a phone and is designed for one person or a small team to handle chats. The platform, formerly known as the API, connects to your systems and allows bots, AI agents and multiple agents on one number. You access it through an official provider, and Meta charges for messages.

Can an AI agent on WhatsApp book appointments?

Yes, if it's connected to your calendar. The agent can ask what service the person needs, check available slots, suggest times and confirm the appointment. Ideally it also sends a reminder, and any special case goes to a person on your team.

Is it legal to send automated WhatsApp messages in Colombia?

You can, as long as you respect Law 1581 of 2012 on personal data and WhatsApp's rules. That means having the person's permission to message them, having a data-treatment policy, letting them opt out and not sending bulk messages people didn't ask for.

What shouldn't a WhatsApp chatbot answer?

Complaints, large sales negotiations and sensitive topics such as health, disputed money or personal situations should go to a person. The bot can receive the message, say thank you and let the customer know someone from the team will reply soon, but it shouldn't improvise in those cases.
